Last Updated: May 13, 2026

Introduction

The Willowbrook Village (“Hotel,” “we,” “us,” or “our”) is committed to protecting your privacy when you visit or interact with the hotel website, or otherwise provide personally identifiable information. This Privacy Policy explains how information may be collected, used, and shared.

Collection and Use of Personally Identifiable Information

“PII” generally refers to information that may identify you, including your name, address, phone number, email address, payment information, photograph, age, or similar details. The Hotel states that it only collects PII voluntarily provided by users, although certain PII may be required during reservation or check-in processes.

PII may be used to:

  • Facilitate check-in, check-out, room reservations, and add-on purchases.
  • Respond to questions, comments, requests, and event or meeting proposals.
  • Send reservation confirmations, scheduling information, hotel details, and surrounding-area information.
  • Manage event bookings, guest lists, catering needs, attendance, and related services.
  • Provide or administer guest services, recreational activities, concierge services, restaurants, gift shops, fitness areas, or other hotel amenities.
  • Send marketing, survey communications, promotional materials, or hotel offers when applicable.
  • Improve the website, troubleshoot technical issues, conduct data analysis, retain customer service records, and monitor service standards.
  • Prevent fraud or abuse, support security and safety efforts, comply with applicable laws, and process business records.

Anonymous Data, Cookies and Advertising Technology

Anonymous Data may include information that does not personally identify users, such as clicks, page views, visit duration, IP address, referral links, and interest in website features. This type of data may be collected automatically through cookies, web beacons, pixel tags, and similar technologies.

The Hotel may use Anonymous Data to operate, maintain, market, develop, and improve the website, the Hotel, and its services. Cookies may help process room reservation requests, customize website experiences, remember preferences, measure website use, and support advertising or retargeting activities.

The policy also references third-party advertising technology, including AdRoll, and explains that users may configure their browser to block or disable cookies. Disabling cookies may affect some website functionality.

Sharing of PII

Except as noted in the policy, the Hotel states that it does not sell or share PII outside of the Hotel and its management company, Highgate Hotels, and does not share PII with other parties for direct marketing purposes.

PII may be shared with vendors and service providers as needed to operate the website and hotel business, including reservation service providers, event service providers, credit card processors, communication vendors, technology vendors, professional advisors, administrative support providers, survey providers, insurance-related agencies, mail carriers, reservation engine vendors, and providers of on-site services.

PII may also be disclosed when required by law, legal process, governmental or law enforcement request, emergency situations, safety concerns, protection of legal rights, or in connection with a change in Hotel ownership.

Review of Collected PII and Marketing Opt Out

Guests may request to review or edit reservation information or customer database information by contacting the Hotel. The Hotel may retain proper business and transactional records as required by law.

Users may opt out of promotional emails by following the unsubscribe instructions included in the email or by contacting the Hotel directly.

Do Not Track, Data Security and Retention

The policy states that the Hotel does not currently respond to or process “Do Not Track” or similar technical tracking requests.

The Hotel uses industry-standard technological security measures reasonably designed to help protect PII from loss, unauthorized access, or disclosure. However, internet transmission cannot be guaranteed to be fully secure.

Personal data is generally retained only as long as reasonably necessary to process reservations, maintain a customer database, fulfill the purpose for collection, and comply with legal business-record retention requirements.

Children’s Privacy

The website is intended for individuals 18 years of age and older located in the United States. It is not directed at, marketed to, or intended for users younger than 18. If the Hotel learns that PII was provided by a person younger than 18, it will make commercially reasonable efforts to delete that information promptly.

Local Country and State Privacy Rights

Depending on the guest’s country or state of residence, users may be entitled to request information about personal information collected, sources of information, purposes of collection, whether information has been disclosed to third parties, copies of collected information, deletion of personal information, and that personal information not be sold to third parties.

The Hotel states that it will not discriminate against users who exercise these rights and may require identity verification before processing a request.

Inquiries or Complaints

Questions or complaints regarding data processing practices should be directed to the Hotel. If the Hotel cannot resolve a complaint, users may have the right to contact the applicable data protection authority in their home country.
